Staff roles and what each person can see

How roles limit what each person on your team can see and change, and how to set them.

Each person on your team has their own login and a role. The role decides which parts of the console they can open, and staff see only what their role allows.

Choosing a role

Start from what the person does each day. Front-desk staff need Members and the Support inbox, and they don't need Billing. A coach needs Workouts and Programs, and doesn't need your revenue reports. In a clinic, keep clinical details to the people who need them for patient care.

Changing someone's role

  1. Open App settings and go to the team section.
  2. Find the person and choose their new role.

Good habits

  • Never share a login. The activity log records changes by name, and a shared login hides who did what.
  • Give each person the smallest role that lets them do their job. You can change it any time.
  • Remove access on someone's last day.
  • Review your team list when roles change, such as a coach moving to management.
